Quiet Room Privacy Policy
This Privacy Policy explains how Quiet Room collects, uses, stores, and shares information when you use the app, related AI features, and support services.
1. Who Operates Quiet Room
Quiet Room is operated under the Quiet Room app name. For privacy, support, account, or app questions, email Quietroomapp@gmail.com or visit the support page.
2. Information We Collect
Depending on how you use the app, Quiet Room may collect:
- Account and sign-in information. If you use Quiet Room without signing in, the app may create a temporary anonymous account or session so the app can function properly. If you sign in or create an account, we may receive information such as your email address, display name, sign-in method, account identifiers, and session information.
- Messages and conversation data. We process the prompts you send, assistant replies, conversation titles, selected model, and related conversation metadata.
- Profile and memory data. Quiet Room may infer and store profile or memory information from conversation content so future replies can keep continuity and personalization.
- AI-sharing consent state. Quiet Room asks for consent before the first message is sent to the AI service. For signed-in users, this consent state may be stored with the account. For anonymous users, it may be stored locally on the device.
- Safety feedback and reports. If you choose to report a response, we may collect your report, selected reason, optional note, and the related account or conversation context needed to review the issue.
- Technical and operational metadata. We may process request IDs, account or user IDs, conversation IDs, model names, token usage, status, error categories, app or platform information, timing, and related operational metadata.
- Voice-related request data. If you use voice playback, the text being turned into audio is sent to the voice service. Generated audio may be temporarily cached on your device for playback.
- Support content. If you contact support, we collect the information you include in your message.
3. How We Use Information
- Provide chat, account, and conversation-history functionality.
- Maintain signed-in account state and app sessions.
- Support continuity and personalization across conversations.
- Generate AI chat responses and voice responses after consent.
- Review reported responses and improve safety, quality, and reliability.
- Respond to support, privacy, account, and deletion requests.
- Debug issues, protect the service, and maintain reliability.
4. AI Provider Use And Consent
Quiet Room uses OpenAI to generate chat responses, create voice responses, and help maintain profile or memory context. Conversation content, relevant prior context, selected profile or memory information, timezone context, model selection, and the text used for voice generation may be sent to OpenAI for those purposes.
Before your first message is sent to the AI service, Quiet Room shows a consent prompt. If you choose Not now, the pending message is not sent.
5. Third-Party Services
Quiet Room uses service providers that help operate the app, including:
- Google Firebase for sign-in, account sessions, and secure data storage.
- OpenAI for AI-generated chat, profile or memory processing, and text-to-speech.
- Hosting and logging infrastructure used to run the app and keep it reliable.
- Vercel or equivalent static hosting for this public policy and support site.
We may also disclose information if required by law, to protect rights or safety, or as part of a business transition involving the product.
6. Retention
- Account-linked product data. Conversation, profile, memory, and signed-in AI-consent data are retained until you delete the relevant conversation or delete your account, unless otherwise stated.
- Operational logs. Operational logs are primarily technical records used for reliability, security, and debugging. Deployed operational logs are retained for up to 90 days and then expire automatically. Local development logs may persist until manually rotated or deleted.
- Device-local data. Local sessions, consent cache, and temporary audio cache files may remain on your device until app cleanup, operating-system cache eviction, uninstall, or manual app-data clearing.
7. Account Deletion
Signed-in users can delete their account in the app. Open Quiet Room, tap the profile icon, choose Delete Account, and confirm. The backend deletes the account and known app data tied to that account, including conversations, profile or memory records, profile history entries, and signed-in AI-consent state.
Operational logs are not generally deleted individually during account deletion and may remain until the 90-day retention window expires. Device cache or app-local data may also remain until local cleanup, OS cache eviction, uninstall, or manual app-data clearing.
More details are available on the account deletion page.
8. Support And Debugging Access
Quiet Room does not rely on operational logs as the primary place to review conversations. Operational logs are meant to help locate request IDs, timing, status, model, error categories, and related metadata.
If support or debugging requires review of user content, review should be scoped to the relevant account or conversation data rather than broad log review.
9. Your Choices
- You may choose whether to sign in or continue with an anonymous session.
- You may choose whether to consent before sending messages to the AI service.
- You may delete individual conversations where available.
- You may delete a signed-in account from the profile icon menu.
- You may report a response from the response actions shown in the app.
- You can remove app-local data by uninstalling the app or clearing app data on your device.
- You can contact support at Quietroomapp@gmail.com.
10. Children
Quiet Room is not intended for children under 13, and we do not knowingly collect personal information from children under 13.
11. Changes To This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date on this page.
